Vaccine Ordering Frequently Asked Questions

Q. How long will it take to receive my order after I submit it?

A. Allow four weeks for your order to be processed and delivered, although you will often receive it within two weeks. You should, however, always maintain a four-week supply of vaccine in case processing and delivery takes the entire four weeks.

During peak ordering periods, such as “back-to-school”, flu season, and during the launch of a new vaccine, VFC receives a higher than usual volume of vaccine requests.  Although orders are processed as efficiently as possible during these periods, it may take up to four weeks for vaccine orders to be processed and delivered.

Q. How do I find out the status of my order?

A. For order status call VFC Customer Service at 1-877-2GET-VFC (877-243-8832). Please have your six digit VFC PIN number at hand when you call VFC or visit eziz.org to access weekly order processing updates.

Q. How often can I order?

A. Your ordering period will range from one to three months, depending on the size of your practice. VFC determines order frequency (how often you are permitted to order) by the total number of vaccine doses your practice receives annually.  

    • High volume providers receive more than 2,000 doses of vaccines per year, may submit a vaccine request every month, and may order up to 12 times per year.
    • Medium volume providers receive 500-2,000 doses of vaccines per year, may submit a vaccine request every 2 months, and may order up to 6 times per year.
    • Low volume providers receive fewer than 500 doses of vaccines per year, may submit a vaccine request every 3 months, and may order up to 4 times per year.

Q. How do I find out if VFC received my order?

A. As soon as VFC receives your faxed order, it is assigned to a VFC Customer Service Representative for review, approval, and processing. If you are not sure that your order was transmitted successfully, wait one or two days after submitting your order to allow time for it to be entered into the system. Then call VFC Customer Service at 1-877-2GET-VFC (877-243-8832) to verify that your order was received. Do not send more than one copy of your order; this could cause a duplicate order to be processed or result in unnecessary delays.

Q. What should I do if VFC sends my order form back to me?

A. Do not ignore it! Your order form was returned to you because it needs to be corrected before VFC can approve it. The VFC Customer Service Representative who returned it to you indicated the problem areas on the form. VFC will not approve your request until the problems have been corrected and the order form is sent back to the representative who returned it to you. Most orders are returned because of missing or incomplete information, discrepancies with reported administered doses or inventory on hand, or inappropriate vaccine requests.

If VFC does not receive your corrected order within five business days, your order will be discarded. If this happens, you will need to submit a new order form that reflects updated vaccine usage and current inventory. If you need assistance, call VFC Customer Service at 1-877-2GET-VFC (877-243-8832) and ask to speak with the representative who returned your order form to you.

Q. I forgot to order a vaccine on my most recent vaccine order form. Can I order it after I have already submitted my form?

A. Please note that VFC discourages supplementing existing orders, and will only approve supplements under certain circumstances.  If you do need to order more vaccine, complete the required information (doses administered and inventory on hand) for that vaccine on a new order form and write “Supplemental to most recent order” at the top of the form. Do not repeat information you already provided about other vaccines on the order form you already submitted. This could result in a duplicate vaccine order.

Q. I am out of vaccine and need more immediately. What should I do?

A. If you unexpectedly need more vaccine, call VFC Customer Service at 1-877-2GET-VFC (877-243-8832) and say that you will be submitting a supplemental vaccine order. Tracking your vaccines usage closely, however, will help to prevent this situation.

If you think you will need more vaccine than usual for a certain order period, e.g., flu season, or “back-to-school,” try to anticipate the quantities you will need and order accordingly.

Q. Flu vaccine is not on the Vaccine Order Form. How do I order flu vaccine?

A. A separate Influenza Vaccine Order Form is updated annually for the current year’s flu vaccines and is enclosed in the annual influenza packet sent to all VFC providers at the beginning of flu season.

At the beginning of each flu season VFC informs providers of the date when VFC will begin accepting influenza vaccine orders. VFC will return flu vaccine orders that are not submitted on the current year’s order form. Those orders will need to be resubmitted on the current year’s form.

Q. Does VFC provide single antigen measles, mumps and rubella?

A. No, VFC does not supply single antigen measles, mumps, or rubella vaccine. See the current Vaccine Order Form for a list of available vaccines.
